    Your Document Information

    Next to each of the 87 different document types listed on the Select Document drop-down menu above, it will show either an RD, NRD, or CD. This will let you know if you need to get your documents notarized before you can drop them off to us.

    ■ Recordable Document (RD) = These types of documents do not need to be notarized but they must be original or certified copies (no photocopies) that can only be issued from a Texas city or county clerk’s office or Texas Vital Statistics/Texas Vital Records). You cannot drop off recordable documents that were issued from another state (non-Texas) or another country to us. TEXAS ONLY!

    ■ Non-Recordable Document (NRD) = These types of documents must be signed originals (no photocopies) and be properly wet ink or online notarized by a Texas notary. You cannot drop off non-recordable documents to us that were notarized by a notary from another state (non-Texas) or country. TEXAS NOTARIES ONLY!

    A Texas notary public must print and sign their name on a document exactly how their name is spelled on their official Texas notary stamp on every document that you want apostilled in Texas.

    If the Texas notary public signs or prints their name anywhere on a document differently than what is listed on their official licensed Texas notary stamp the State of Texas Secretary of State office will reject your document because of notary error.

    How the document signer’s name is shown and printed within the body of the legal document is EXACTLY how the notary public must print the document signer’s name in the notary jurat by ________ blank area as shown below.

    For example, if the document signer’s name is printed on the legal document as John D. Doe or Jane D. Doe the notary public MUST print their names in the notary jurat area exactly as John D. Doe or Jane D. Doe, not John Doe or Jane Doe or John Jackson Doe or Jane Jackson Doe. A Texas notary public must always use the exact middle name or initial spelling of the document signer in the notary jurat that was used within the body of the document they are notarizing. 

    The exact notary jurat verbiage (this must be written in English and no other language) shown below MUST be listed on any type of non-recordable document (any document that has been notarized) that you drop off to us. If the below notary jurat verbiage is not on your non-recordable document you cannot drop it off to us and you will need to get your document properly notarized first.

    ■ Corporations Document (CD)
     = These types of documents do not need to be notarized but you cannot drop off this type of document to us. You can only email us to start the Texas corporation apostille ordering process.

    ■ You can only choose ONE foreign (non-USA) country per document. The Texas Secretary of State will only issue anyone ONE apostille certificate on ONE document and for ONE foreign (non-USA) country. This means the Texas Secretary of State will not issue you multiple apostille certificates or for multiple countries on one document.

    ■ We strongly recommend and urge you to scan or take a photo of any non-recordable documents (any notarized document) and email them to us before you drop them off so we can verify they have been properly prepared and notarized. If you choose to ignore this step (take us up on our free non-recordable document email review) before you drop off your documents to us and your documents get rejected by the Texas Secretary of State because of errors you or the notary you hired made.

    You will have to redo your documents (get them properly signed and notarized) and pay us our full apostille service fees a second time to attempt to apostille all your documents again with the Texas Secretary of State for a second time. We don’t want this to ever happen to you but we can’t help you avoid having your non-recordable documents (any notarized document) rejected by the Texas Secretary of State unless you email them to us to do a FREE document review (you cannot drop off documents to us to review). All documents you drop off to us will always be filed with the Texas Secretary of State and either accepted or rejected by the TXSOS office.

    ■ All Texas Secretary of State government document filing fees are included in our flat fee rush Texas apostille service pricing. You do not mail or drop off to us a check, cashier’s check, or money order made out to the Texas Secretary of State for state document filing fees since we pay for all of that not you. 

    ■ Because we will be rush filing your documents physically in person at the Texas Secretary of State’s office on your behalf you don’t complete or mail/email/drop off to us the Texas Apostille Form 2102 or Texas Apostille Form 2103 (for foreign adoptions only). We have a different apostille order form that we must complete and submit to the State of Texas along with your documents when doing rush filings.

    ■ The three documents with asterisks* listed on the select documents drop-down menu (Certificate of Naturalization, Trademarks/Patents, and FBI Criminal Background Check) are classified as federal documents, and federal documents cannot be apostilled by the Texas Secretary of State. This is not the correct order form page to use for those types of documents. You must go to our federal apostille order page or FBI background check order page to place your federal apostille order.

    ■ When creating and buying a FedEx, UPS, or DHL prepaid return shipping label they will ask you for a sender’s address (from address) which means if your documents get lost in the mail the sender’s address is the return address of where the undelivered documents will be sent back to by FedEx, UPS, or DHL.

    You must put your name and address or your company’s name and address as the sender (from address) on the prepaid shipping label and/or on the customs invoice if shipping internationally. Depending on what foreign country you live in outside the U.S the FedEx, UPS, or DHL online system may see your foreign IP address and not let you put your foreign address in as the sender (from address). If this happens you must list a friend, relative, or company office address that is located in the U.S as the sender (from address).

    You CANNOT put our company name (Apostille Texas) or our address as the sender because we are not the sender. The sender is you because you created and paid for the prepaid return shipping label, not us and you’re 100% responsible for paying all current shipping and future customs charges when shipping internationally.

    We will not mail your documents back to you if you mail, email, or drop off to us a prepaid return shipping label or customs invoice that wrongly has our company name, phone number, or address listed anywhere on it. FedEx, UPS, and DHL wrongly send us and try to collect from our company unpaid shipping bills because people and companies don’t pay their full shipping charges and customs fees when sending internationally.

    ■ Our Texas same day document filing services cutoff time is noon CST Monday-Friday. If we receive your documents by drop off after 12pm CST your documents will not normally be submitted to the Texas Secretary of State office until the following business day.

    ■ As of May 15, 2024, the Texas Secretary of State drastically changed their apostille filing turnaround time policies. Depending on how many total documents are submitted to them in person per day by any person or company your documents might not be issued an apostille certificate from the Texas Secretary of State until 48 hours (two business days) after we same day file your documents with them. This could happen even if we receive your documents by drop off before or by our 12pm CST filing deadline please be advised.

    If this were to happen we will instruct and notify you via email to purchase a prepaid return FedEx or UPS shipping label. Then drop the shipping label off at our office or email the prepaid return label PDF to us so we can mail your documents back to you (or to wherever and whomever you want them sent to which is up to you) once the Texas Secretary of State issues your apostille certificate.

    If you do not provide us with a prepaid return shipping label you’ll have to travel back to our office in two or three business days after you drop off documents at our office. Please don’t return to our office for a second time until we confirm that the Texas Secretary of State has issued your apostille certificate and you’ve received an email from us stating that your apostilled documents are now ready to be picked up. In this scenario, if you dropped documents off to us on a Friday your documents would not be ready to be picked up until Tuesday or Wednesday afternoon of the next week.
